How Often Should a Coffee Shop Replace Its Water Filter?

There is no single replacement interval that fits every coffee-shop water filter. The correct change date depends on the cartridge, the job it performs, the incoming water, and the amount that passes through it.
The practical approach is to track the manufacturer's volume and time limits while monitoring the required water results and delivery. Replace or service the system when the applicable limit or condition calls for it, rather than waiting for the coffee to taste wrong.
Know which cartridge you are scheduling
Write down the full model and part number, not just the brand or the word “filter.” A café can have a sediment prefilter, a carbon stage, a specialty treatment cartridge, and an RO membrane with different service requirements.
Identify which appliance each component supplies. If the same head accepts several cartridge types, confirm that the replacement performs the intended treatment. Physical fit does not establish the same chemistry or capacity.

Use the manufacturer's limits as the starting point
Obtain the current maintenance instructions and the capacity calculation for your source conditions. Record the maximum calendar interval separately from the usable treated volume.
For a product-specific example, Pentair's manufacturer-hosted Claris Ultra 2000-XXL sheet calls for replacement at the calculated volume or at least once per year. That does not mean every filter lasts a year; another product or a higher workload can call for a different schedule.
If the instruction sheet and service provider's recommendation differ, ask the provider to explain the site-specific reason and document the agreed plan.
Turn capacity into an estimated date
Use actual metered volume where practical. If you are estimating, include all water on the treated branch rather than counting only finished drinks.
Suppose a provider establishes a usable capacity of 4,500 liters for a hypothetical installation. At an observed 50 liters per operating day, the volume estimate is 90 operating days. If the café opens 25 days a month, that is about 3.6 months. Those are invented figures to show the calculation, not a recommended interval.
Put the estimate on the service calendar, then adjust it as measured use changes. Keep any calendar maximum and performance-based service trigger in force even when the volume estimate suggests more time remains.
Understand what each warning can mean
Different treatment problems show up in different ways. A chemically exhausted cartridge may still pass water. A restrictive prefilter may reduce flow even while another treatment stage retains useful capacity.

The table is an investigation guide, not a diagnosis from symptoms alone. Have the provider assess the cause and the appropriate action.
Test the parameter the cartridge is meant to control
A hardness test does not verify chlorine reduction. A TDS reading does not demonstrate that every individual equipment limit is being met.
Use the test method the provider and equipment documentation call for. The Claris sheet linked above, for example, directs users to a titration kit rather than hardness strips for checking hardness reduction. That is a reminder to follow the selected product's verification method, not assume every inexpensive kit is suitable.
Record the sample location as well as the result. Testing untreated water by accident can make a working system look exhausted, while sampling another filtered branch can conceal the problem at the espresso machine.
Make the service record short enough to use
Keep the cartridge identification, installation date, starting meter reading, capacity setting, test results, and next action in one place. Add the supplier and service contact.
Assign the record to a specific role, such as the manager or opening supervisor, with cover for days off. If responsibility is shared vaguely across the whole team, it is easy for a due date to be missed.

Plan the change around trading
Order the correct replacement before the expected service point. Allow time for the prescribed shutdown, cartridge change, flushing, checks, and return to service. Do not schedule the job five minutes before the morning rush because the cartridge itself looks easy to twist off.
Have trained staff perform only the work permitted by the system instructions and the business's service arrangement. Where a technician is required, book the visit and clarify who brings the parts.
Keep the replacement area clear. Access that was easy on installation day may be blocked by cartons and cleaning supplies several months later.
Verify after the cartridge is changed
Follow the prescribed flushing and commissioning instructions. Check for leaks and verify the appropriate downstream water results and delivery conditions before returning the affected equipment to normal use.
Reset or update the meter and record as specified, while preserving the old reading and service history. If a bypass setting was disturbed, have it restored and verified through the approved procedure.
A new cartridge is not proof that the complete system is correct. Wrong parts, changed source water, an unintended bypass position, or a separate restriction can still need attention.
Reassess after downtime or business changes
A long closure may call for restart or sanitation work beyond the normal volume-based replacement plan. Ask the manufacturer or provider for the applicable procedure; do not invent a universal safe idle period.
Similarly, longer opening hours, more events, a new brewer, or a different cart filling source can change the schedule. Update the estimate before the old date becomes misleading.
