How to Size a Water Filter for a Coffee Shop

Sizing a coffee-shop filter is two jobs. It needs enough treatment capacity to last for the intended service interval, and enough flow to supply the equipment when it is busy.
The larger gallon number does not automatically win. You also need the correct treatment process, acceptable pressure loss, a compatible head, and room to change the cartridge.
Define what the filter will serve
List the espresso machine, brewer, hot-water dispenser, ice machine, and other equipment connected to the proposed branch. Use exact models and current installation requirements.
The appliances may not need identical water. Ask the supplier whether they should share treatment or use separate branches. Adding everything to one manifold is a design decision that needs a reason, not simply a way to use fewer filters.

Measure daily water use where possible
For an operating café, read a suitable meter over representative trading days. Include quiet and busy days, then note which equipment and activities the meter captures.
For a new café, build an estimate from the planned menu and operating routines. Espresso water, flushing, hot-water dispensing, cleaning, and shared appliances all count if they pass through the filter. A cup-sales forecast alone is not a water-use forecast.
Be precise about what you are counting. Do not add boiler replenishment a second time if it is already included in a measured machine total. The purpose is to account for all use without double-counting it.
Work through a sample demand estimate
The following is an invented daily planning example for one treatment branch. It is not a typical café allowance and should not be used in place of measurement or equipment-specific estimates.

At 26 operating days, that example uses 1,560 liters in a month. If the provider establishes a usable cartridge capacity of 6,000 liters under that site's conditions, the volume-only estimate is 100 operating days, or about 3.8 months at that schedule.
That is not a replacement promise. The actual calendar limit, monitored performance, operating conditions, and manufacturer's instructions can require earlier service. The example simply makes the relationship between use and capacity visible.
Find the basis of the capacity rating
A published gallon rating is tied to an application and test conditions. Ask which incoming chemistry and settings apply, then obtain the capacity estimate for your actual supply.
Pentair's Claris Ultra 2000-XXL sheet, for example, lists 4,358 gallons for espresso based on 180 ppm incoming hardness and standard bypass settings. It lists a different capacity for coffee/OCS. This is a useful illustration of why the application and footnote matter.
Do not use a simple inverse-hardness formula for every cartridge technology. Ask for the exact manufacturer's sizing method, especially where bypass, multiple media, or more than one reduction claim is involved.
Check peak flow separately
Daily volume does not describe the fastest delivery the equipment may need. A machine can call for water quickly even when its total daily consumption is modest.
Simonelli's Appia Life Compact 220V sheet, for example, specifies a minimum supply flow of 1 GPM. A filter selected solely from an espresso-beverage average could miss that requirement. Use the complete current specification for your model.
Have the provider assess service flow through the complete installed system. Include head, cartridges, valves, supply lines, and any shared demand. A compatible nominal pipe size alone does not demonstrate adequate delivery.
Include pressure loss in the assessment
Ask what pressure is available at the equipment while the relevant water demand is occurring. A reading with everything idle does not establish performance during refill or simultaneous appliance use.
If the design includes several stages, evaluate them together. Each component has operating requirements, and sediment loading can change delivery over time. The installer should identify how performance will be checked and what change calls for service.
Avoid solving an undersized arrangement by opening a treatment bypass without a documented plan. That may change the water chemistry reaching the equipment.
Choose a service interval the business can manage
Once the provider has identified suitable options, compare expected replacement frequency, cartridge cost, labor, and availability. A larger compatible system may reduce visits; a smaller one may fit the cabinet better. Price those tradeoffs against actual use.
For example, if two acceptable systems produce the same final water and delivery conditions, ask for their estimated annual cartridge and service costs using the same demand assumptions. That is a fairer comparison than comparing the cartridge prices by themselves.
Keep the maximum calendar interval visible. Low volume does not allow indefinite service simply because the theoretical gallon capacity remains unused.
Check the finished cabinet
Measure the head, cartridge, replacement clearance, valve access, and space for any meter or sampling point. Use the finished layout with refrigeration and storage in place.
On a cart, also check mounting, transport conditions, and how the treatment works with the approved water source and pump. A system that fits only when the wastewater tank is removed does not fit the operating layout.

Verify and revise after opening
Record the commissioned water results, settings, starting meter reading, and planned service point. Compare actual use with the opening estimate once the business has representative trading data.
