Coffee Shop Utility Planning Checklist for Contractors and Electricians

Coffee equipment installation gets expensive when several people make reasonable assumptions that do not match. The cabinet installer leaves a small opening. The plumber places the filter behind a drawer. The electrician locates the outlet where the original espresso machine would have sat. Then the final machine arrives with different requirements.

A useful utility checklist brings those decisions together before they become finished work. It tells each person what equipment is coming, where it will go, who is responsible for each connection, and how the completed installation will be checked.

Create one equipment schedule everyone can use

Give each appliance a simple identifier on the floor plan and schedule. “E-01 espresso machine” is easier to coordinate than three different descriptions of the machine at the left end of the counter.

For every appliance, attach the current installation sheet for the exact model and electrical version. Add dimensions, operating weight where available, required clearances, service access, connection locations, and any installation accessories included or excluded from the equipment order.

Record the date and revision of the schedule. If you substitute a model, update the same document and tell the affected trades. Do not leave the electrician working from an early quote while the plumber works from a new product page.

Keep undecided items visible. An unresolved ice machine or water heater is a real planning dependency, even if the espresso machine has already been selected.

Assign a person and a finished result to each task

Use this as a starting handoff table, then put actual names and dates into your project copy. Responsibilities vary with the contracts; the point is to assign them explicitly.

“By others” in a quotation should lead to a named assignment. Otherwise, a water regulator, final hose connection, or startup visit can remain unpurchased until everyone is standing at the counter.

Electrical checklist: confirm the complete café

Ask the electrician to review the whole appliance schedule, including building loads and equipment that will be added later. Provide the voltage, phase, frequency, input ratings, and manufacturer connection requirements rather than a single total from a sales quote.

Resolve these items before rough-in:

  • Confirmed site supply and capacity for the proposed installation.
  • Required circuits, protection, and connection types determined by the electrician.
  • Final outlet or hardwired connection locations, coordinated with water and cabinetry.
  • Responsibilities for permits, inspections, landlord approvals, and any utility work.

Have the contractor account for access after installation. Staff and service technicians should not have to dismantle a storage system to reach an intended service point.

Water checklist: quality and delivery are separate checks

A water test helps determine treatment. A flow and pressure review helps establish whether the equipment can receive enough treated water while the café is operating. Both belong in the plan.

Ask the treatment supplier to explain which measured problems the proposed system addresses and which it does not. Give them every connected appliance and the expected demand. The plumber then needs the actual system dimensions, connections, operating requirements, and service clearances.

Agree where a shutoff, regulator if required, test point, and any treatment-system drain will go. Check cartridge-removal space with the cabinet doors and shelves in place. Include the ongoing replacement items and monitoring method in the handover information.

Drainage checklist: follow every waste stream

List the espresso machine, pitcher rinser, ice equipment, sinks, treatment system, and any other appliance that produces wastewater. Ask the plumber to show where each one goes and how the proposed arrangement satisfies the equipment instructions and local requirements.

Review the route with the counter drawing. Gravity drainage needs a workable path; a cabinet opening alone does not create one. Leave the required access for cleaning and service, and keep waste connections from interfering with electrical equipment or clean-water components.

Counter checklist: use the machine's real footprint

Check the final equipment dimensions, loaded weight, support requirements, working clearances, and access for maintenance. Plan room to remove a grinder hopper or reach a filter without relocating half the bar.

Mark penetrations from the coordinated drawing rather than from a photograph. A counter hole can be in the wrong place even if it is large enough. Check the space below it for braces, drawers, refrigeration, water tanks, and cable or hose routes.

Finish with a service rehearsal

After the required inspections and professional startup, run an agreed rehearsal with the equipment in its final arrangement. Make a representative sequence of drinks, use the sinks normally, and observe the installation under the conditions it was designed to support.

Have qualified professionals check performance and any issues involving electrical supply, pressure, drainage, or equipment settings. Staff can report leaks, slow drainage, access problems, and interruptions without adjusting technical systems themselves.

Collect the commissioning record, manuals, warranty information, service contacts, maintenance instructions, and approved drawings in one folder. Show staff the normal shutoff and reporting procedures.
